Position: Real Estate Office Team Manager

Location: Flushing, New York

Job Purpose: As an Office Team Manager at Barbie Li Team Inc., this role will report to our CEO. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, and task delegation. He/she will organize and coordinate office administration and procedures, to ensure organizational effectiveness, efficiency, and safety. An ideal office team manager is an energetic professional who takes a hands-on approach and doesn’t mind wearing many hats.


You will play a pivotal part in our operations, ensuring seamless real estate transactions and efficient management of client relationships and team activities. In this role, you will be central to upholding and enhancing our reputation through your support of day-to-day operations, communication, and marketing efforts. Your meticulous attention to detail and proactive support will empower our staff and agents to deliver exceptional service and results.



Role Responsibilities:


1. Administrative and Office Management:
Manage daily office operations, including opening and closing procedures, filing systems, and office equipment maintenance.Handle phone calls, emails, and other communication, ensuring that inquiries and requests are directed to the right team member.Maintain office supplies, technology, and inventory, ensuring the office is well-stocked and operational.


2. Transaction Coordination:
· Oversee and manage real estate transaction paperwork, contracts, and legal documents.
· Ensure timely processing of listings, offers, sales agreements, and other real estate transactions.
· Monitor transaction deadlines and coordinate with escrow agents, lenders, inspectors, and other third-party vendors to ensure smooth closings.


3. Client Relations and Communication:
· Act as a point of contact for clients, ensuring they are informed and updated on the progress of their transactions.
· Schedule client meetings, showings, open houses, and inspections.
· Manage client feedback and help resolve any issues or concerns.

Qualifications:
Bachelor’s degree in business administration, Real Estate or a related field is preferred but not limited toPrior experience managing an office or administrative tasks, typically 2-5 years, preferably in a real estate or related industry.Strong communication (written and verbal), organizational and time management skillsProficient with technology including office software (MS Office, CRM systems, MLS platforms).Experience in providing administrative support to teams, handling scheduling, organizing meetings, and managing workflows.Excellent multitasking skills, attention to detail and interpersonal skills.Familiarity with real estate processes, including transaction coordination, contracts, and working with MLS systems, is highly desirable.Background in client communication and maintaining client relationships, as the role often involves direct interaction with buyers, sellers, and vendors.Bilingual in Chinese Mandarin is a MustThe role is a blend of administrative management, client relations, and team support, ensuring that the real estate office runs efficiently and that the team has the resources to succeed.

Compensation may vary depending on a few factors, including a candidate’s qualifications, skills, competencies and experience, and location. Base pay is one part of the Total Package that is provided to compensate and recognize employees for their work.
